The Challenge

Six shows, six front doors, and one badge that worked at all of them.

Media Fusion brought Sleep Expo Middle East, UTECH Middle East, MECAM, the Plastics Recycling Show Middle East and Africa, BOLAT, and Furtech together at Dubai World Trade Centre, running simultaneously across five interlinked halls. Each show had its own audience, exhibitors, identity, and its own check-in entrance, yet visitors expected to move freely between all of them once inside, without re-registering at every door.

Media Fusion needed a single event registration platform that could handle six shows' worth of registrations in one database, badge every visitor on arrival, and absorb trade-show peak hours without queues forming at any hall entrance.

The Solution

Register once, badge once, walk everywhere, and track all of it.

01

Multi-Show Online Registration

All six shows ran on a single event registration system. Visitors registered for the show that brought them in and received a QR confirmation valid across the co-located event. Every registration fed one unified database, giving the Media Fusion team live visibility of every show's numbers from one dashboard.

02

QR Code Check-in

Visitors scanned their QR confirmation at staffed check-in counters in seconds. Anyone arriving without one simply scanned a QR code and registered themselves on their own phone in under a minute, or had a Sajilni team member walk them through it at the counter. Either way they landed in the same system as everyone else, so entry kept flowing through the peak hours with no separate queues or paper lists at any hall. Trained Sajilni staff worked the counters with dedicated scanning hardware, so a scan took a second and the line kept moving.

03

Instant Badge Printing

Badges printed on demand in seconds, personalized per visitor. No pre-printed piles, no misprints, no wasted stock. One badge worked in every hall and at every show, so attendees explored the full event without ever stopping at another registration desk.

04

Self-Service Check-in Kiosks

Branded self-service kiosks ran alongside staffed counters, letting visitors scan, print, and collect their badge entirely on their own. Every kiosk was an extra lane that cost no extra staff, absorbing peak-hour traffic and keeping queues short across the entrances. For returning trade visitors who knew the drill, self-service was faster than any counter.

05

Access Points & Hall Tracking

One badge opened every show, so the access points were not there to turn people away. Scanners at each hall entrance recorded every entry, turning free movement into data: which halls a visitor actually walked into, how many people each show drew, and how that traffic moved across the three days. Where an area did need to be limited, the same access control rules handled it without adding a step at the door.

06

Reporting & Analytics

Organizers watched the numbers move live during the show, then received a full post-event report: total registrations and new registrations per day, onsite registrations, total check-ins and check-ins per day, and hall entry counts broken down by day and across the full event.

Because the hall access points and check-in fed the same database, those numbers showed which shows actually drew traffic. That is the kind of evidence organizers use to price exhibitor space and plan the next edition.

The Results

Everything ran as a single event, and the registration desk never became the bottleneck.

  • One dashboard for the organizer. Media Fusion managed every registration from a single system instead of juggling six.
  • Cross-show freedom. A single badge gave visitors access across all five halls, driving traffic between co-located shows.
  • Kiosks absorbed the peaks. Self-service check-in ran alongside staffed counters through trade-show rush hours.
  • Badges in seconds. On-demand printing meant no pre-printed piles and no misprinted stacks.
  • 24,000+ attendees, one system. Every registration, check-in, and badge across the entire event ran through a single Sajilni deployment over three days.
  • Traffic measured per hall. Entry scans at each hall showed which shows visitors actually walked into, not just who came through the front door.
  • A full post-event picture. Media Fusion received registration and check-in totals, day-by-day breakdowns, onsite registration counts, and hall-by-hall traffic per day and overall.
  • Live visibility for the organizer. Registrations and check-ins were visible in real time, instead of arriving as end-of-day counts.
