The Challenge
When entry is by invitation only, the guest list is the event.
The MENA Effie Awards gala is the marketing industry's night of the year in the region, staged as part of Riyadh Season at the Four Seasons Hotel. Every seat in the room is spoken for: senior marketers, agency leadership, jury members, sponsors, and press, each invited personally rather than through open registration.
That changes the problem entirely. There is no ticket link to share. Invitations have to reach named people, responses have to be tracked so the organizers know exactly who is coming, and on the night a black-tie crowd well over a thousand strong arrives inside a narrow window before the ceremony begins. Nobody in that room should be waiting in a queue, and nobody outside the guest list should be getting in.
The Solution

Event Invitation & RSVP Management
Sajilni's invitation and RSVP platform sent personalised invitations to named guests, each with their own RSVP link, so every response was tied to a specific person rather than an anonymous form. Guests confirmed or declined in a tap, reminders went to anyone who had not replied, and the organizing team watched acceptances land in real time instead of reconciling a spreadsheet by hand.
Because invitations and responses lived in the same system, the guest list stayed accurate to the day of the event, and every confirmed guest already existed in the platform before they arrived at the venue.
Gala Night Guest Check-in
On arrival, guests were checked in against the confirmed list in seconds using Sajilni's event check-in system. Staff could pull up a guest by name or scan their QR code, and because every confirmed guest was already in the system, there was no paper list to search. Each guest was through in seconds, which is what a gala needs when almost everyone arrives inside the same short window before the ceremony starts.
Reporting & Analytics
Because every invitation, response, and arrival ran through one system, the organizers ended the night with a complete picture rather than a rough estimate. The report covered how many invited guests actually attended, when they arrived across the evening, and which part of the arrival window was busiest.
For an annual awards night, that detail is worth more than a headcount. It shows how far ahead of the ceremony guests really turn up, how long reception needs to be staffed, and how the accepted list compared with the room on the night, all of which shapes the next edition.
